2. Scope of this Privacy Notice
This notice applies specifically to personal information we collect and use for recruitment and candidate placement purposes. For information about how we use our website and handle general client or business enquiries, please see our main Privacy Notice.
3. Information We Collect About You
We collect various types of personal information to help us match candidates with roles and support our clients' talent requirements.
Identity and contact information
- Name, address, email address and telephone numbers.
- Professional social media profiles (such as LinkedIn).
- Proof of identity and right-to-work documentation (where required later in the process).
Enquiry and communication information
- Information you provide when registering your CV or applying for a specific vacancy.
- Records of our conversations, emails and meetings with you.
4. Professional and Employment Information
To assess your suitability for roles, we collect extensive professional data:
- CV, work history, job titles, and details of previous responsibilities.
- Education, qualifications, certifications and professional memberships.
- Current salary, compensation expectations and notice period.
- Information provided by your referees (which we only collect after your explicit permission).
5. Special Category and Criminal Offence Data
We do not typically require special category data (such as health information or ethnicity) at the initial application stage. However, we may process such data if it is relevant to making reasonable adjustments for your interview or if required as part of a specific compliance check for a highly sensitive role. Criminal offence information is only processed where strictly necessary and legally permitted for specific client vacancy requirements.
6. How We Collect Your Information
Most information is provided directly by you when you send us your CV, apply for a job via our website or a third-party job board, or speak with our consultants. We also receive information from third-party sources such as LinkedIn, professional databases, and external job boards where you have made your professional profile or CV publicly available for recruiters to access.
7. Our Status as an Introducer
RV Inner Insights currently operates exclusively as an introducer for permanent and direct-contract roles. This means that if you are successful, you will be employed or engaged directly by our client. RV Inner Insights does not currently pay or supply temporary agency workers directly.
8. Purposes for Processing Your Information
We process your candidate information for several core purposes:
- To assess your skills, experience and suitability for specific vacancies.
- To communicate with you about your application and the recruitment process.
- To introduce you to our clients for potential employment opportunities.
- To maintain our internal database of candidates for future professional notifications.
- To comply with legal and regulatory obligations.
9. Legal Bases for Processing
We rely on the following legal bases to process recruitment information:
- Legitimate Interests: To run an effective recruitment service that benefits both candidates (who are seeking roles) and clients (who are seeking talent).
- Contractual Necessity: To take steps at your request before entering into a potential employment contract with a client.
- Legal Obligation: To meet statutory requirements, such as verifying right-to-work status.
10. Automated Decision-Making and AI
We do not use automated decision-making or AI systems to perform final selections or rejections of candidates. While we may use keyword-based search tools to help identify potentially relevant profiles within our database or on job boards, all final assessments of suitability for a role are conducted by our human consultants.
11. Scenario-Based Assessments
In some instances, we may use scenario-based assessments or technical questionnaires to help evaluate candidate suitability according to a client’s specific criteria. These assessments are evaluated by human reviewers and are used as one factor alongside your CV and interview performance.
12. Paid Career Support Services
Registration as a candidate with RV Inner Insights is always free. We provide separate, optional, paid career support services (such as CV drafting and interview coaching). Choosing to pay for these support services is entirely optional and does not guarantee that you will be placed in a role or receive preferential treatment for recruitment vacancies.
13. Our Commitment to CV Privacy
We respect your professional privacy. We will never send your CV to a client without your explicit permission. We will always discuss the specific role and the company with you before making an introduction.
14. Sharing Your Information
We share your information with:
- Our Clients: Potential employers, for the purpose of assessing your suitability for a role.
- Service Providers: IT and website hosting partners, CRM and database providers, and email communication platforms.
- Professional Advisors: Our accountants, legal advisors and insurers where necessary.
- Regulatory Bodies: Government departments or law enforcement if required by law.
15. Client and Stakeholder Information
We also process information about individuals working for our clients and professional stakeholders. This includes contact details, job titles, and professional communications necessary to manage the recruitment process and maintain our business relationship. This processing is based on our legitimate interest in providing a high-quality recruitment service.
16. Data Security
We take appropriate technical and organisational measures to protect your recruitment information from unauthorised access, loss or misuse. Access to your personal data is limited to those employees and partners who have a genuine business need to access it.
17. International Transfers
Whenever we transfer your personal data out of the UK or the EEA, we ensure a similar degree of protection is afforded to it by ensuring at least one of the specific safeguards approved by the UK government is in place (such as using standard contractual clauses).
18. Data Retention
We retain your candidate profile and CV on our database for a period of up to three years from your last meaningful contact with us, unless you ask us to delete it earlier. This allows us to notify you of relevant professional opportunities as they arise. After this period, we may contact you to ask if you wish to remain on our database, otherwise your data will be securely deleted or anonymised.
19. Your Legal Rights
Under data protection laws, you have rights including the right to request access to your data, correction of your data, erasure of your data, or the right to object to processing. To exercise any of these rights, please contact info@rvinnerinsights.com.
You also have the right to make a complaint at any time to the Information Commissioner’s Office (ICO). We would, however, appreciate the chance to deal with your concerns before you approach the ICO, so please contact us in the first instance.
